Useful information
Your reservation constitutes a contract by which you accept all of the following terms and conditions. No other representation, warranty or modification shall bind Alta Voyages, unless in writing signed by the latter. Please read the following information carefully:
Payment terms
A deposit is payable at the time of booking. This deposit is non-refundable and non-transferable. It must include the amount of travel insurance if applicable.
For coach trips:
The first deposit varies between $ 25 and $ 500. This deposit is payable at time of travel reservation and the final payment is due 45 days prior to travel departure date.
For air travels:
The first deposit of $ 500 is payable at the time of booking the trip.
Final payment is due 60 days prior to travel departure date.
Payment can be made by credit card, Interac / bank transfer, or check (you will be charged $ 25 for each NSF check).
For language immersions:
A deposit of $ 450 is required at the time of registration. This amount may vary depending on the type of accommodation. This amount does not include travel insurance, the student visa required for a full-time program in the United States, as well as any deposit or final payment that airlines may require when booking an airline ticket.
Deposit for a client residing outside Canada: $ 700. The balance must be fully paid no more than 45 days before departure. If you are making an interbank transfer or international transfer (SWIFT), a fee of $ 45 per transaction will be added to your bill.
Full payment is required for registration within 45 days of departure.
As long as the required deposit has not been paid in full, Alta Voyages will have no obligation towards the Traveler (s) and no reservation will be made.
Failure to make full payment:
In the event that final payment is not received on time, the Traveler will be considered in default and all reservations and / or purchases for which he is in default will be considered canceled by the Traveler. The cancellation fees provided for in these general conditions will then apply without further notice or delay.
2% interest charge per month for any late payment.
Payment dates and amounts will be indicated on the invoice.
Terms of cancellation
For coach trips:
More than 60 days before departure: Amount of deposit 100% non-refundable
59 to 30 days before departure: 50% of the cost of the trip non-refundable
Less than 30 days before departure: 100% of the cost of the trip non-refundable
For air travels:
- More than 60 days before departure: Deposit of $ 500 non-refundable
- Between 59 and 46 days before departure: 75% of the cost of the trip non-refundable
- 45 days and less: 100% of the cost of the trip non-refundable
- Name change: less than 45 days before departure, any name change will be considered a cancellation.
If a participant is excluded from the trip for non-compliance with the organizer’s rules, these cancellation conditions apply. If a participant should be repatriated to the country due to bad behavior during the trip, all related costs must be assumed by the latter. If you need to withdraw a participant’s registration due to death, illness, injury, etc. prior to departure, the above cancellation conditions apply. We strongly suggest that you take out cancellation insurance.
For language immersions:
- More than 45 days before departure: $ 450 non-refundable
- From 44 to 22 days before departure: 40% of the price of the stay non-refundable
- From 21 to 15 days before departure: 60% of the price of the stay non-refundable
- From 14 to 8 days before departure: 80% of the price of the stay non-refundable
- 7 days or less before departure: no refund
IMPORTANT: As soon as the first deposit is made, please note that there may be a non-refundable portion of your accommodation and, if applicable, the non-refundable portion of an airline ticket and visa to the United States. Everything will be presented to you at the time of booking.
Modifications
Any changes following the purchase of the trip, such as a change in the dates of the trip, the number of participants or changes to the itinerary, will result in administrative costs varying between $ 200 and $ 1,000 and, as the case may be, and may result in cancellation of the trip by Alta Voyages.
Alta Voyages reserves the right to make changes to the schedule at any time and to cancel a package before departure for any reason. At the time of cancellation, we will try as much as possible to offer you an alternative. In the event of a cancellation by Alta Voyages, our responsibility is limited to refunding you the sums we have received. This reimbursement constitutes a final and final settlement of any claim against Alta Voyages which disclaims any claim for damages or otherwise that may result from the cancellation, and for whatever reason.
Alta Voyages reserves the right, at its absolute discretion, to accept or refuse a prospective travel buyer (travel agent or individual). Alta Voyages also reserves the right, at any time, to refuse a passenger who is recognized as undesirable. In such circumstances, only the value of the unused land portion will be refunded (transportation excluded).
Price
For group travel, unless otherwise indicated, prices are based on a minimum number of Travelers as calculated during pricing. In the event of an insufficient number of Travelers, Alta Voyages reserves the right to cancel any tourist service booked and / or purchased.
The customer acknowledges that the price of the agreement may be changed in the event of a fuel surcharge or an increase in the exchange rate (unless your contract includes an exchange rate freeze). In such a case, if the modification results in a price increase of less than 7% excluding GST and QST, the parent undertakes to pay the difference and, if the modification results in a price increase equal to or greater than 7% of the price, excluding GST and QST, the parent can then choose between (1) the cancellation of this agreement and the full refund of the price, or (2) acceptance of the replacement services that may be offered by the travel agent. However, no price modification may take place within 30 days of departure.
For travel to the United States, your exchange rate is guaranteed. Therefore, no change will be made to your price due to a fluctuation in the exchange rate, either up or down.
TIPS
To show appreciation, Alta Voyages recommends that Traveler follow the standards of the tourism industry:
- Student group trips: $3.00 per day per person for the guide and $3.00 per day per person for the driver.
- Adult group trips: $3.00 to $5.00 per day per person for the guide and $3.00 to $5.00 per day per person for the driver.
Travelers may refer to their contract to find out if tips are included.
Payment and guarantee by credit card
By providing their credit card number orally or in writing to make the payment of a deposit, the Traveler agrees to comply with the booking conditions even if they have not signed any form. Verbal authorization is sufficient to confirm the reservation and allow payment to be taken. In certain cases, upon request from Alta Voyages, the Traveler must confirm in writing that he accepts that his credit card be used without signature.
Insurance
Alta Voyages strongly suggests that its customers take out a comprehensive travel insurance policy tailored to the different needs of each passenger. Consult your advisor for this. Failing to subscribe, the customer accepts responsibility for his coverage limited by the RAMQ or by his personal insurance. When a participant takes out insurance, he must sign the exclusion sheet due to pre-existing conditions.
Required documentation
It is the sole responsibility of the Traveler to have all travel documents, passports, visas, etc., as well as the vaccinations required by the authorities of the countries where you will be staying, at your own expense. The traveler may be denied boarding or entry to the final destination country if they do not have the required documents. For more information, the traveler can contact the embassy or consular office of the country to be visited to obtain definitive information on all required travel documents. Information on entry requirements can also be found on the government website: www.travel.gc.ca. In such a case, Alta Voyages disclaims all responsibility and offers no compensation or refund. At no time shall Alta Voyages or any of its representatives be held responsible if a traveler does not have the necessary documents for a trip booked through our agency.
Accommodation
Only hoteliers are responsible for the allocation of rooms, depending on the category booked. All special requests even submitted at time of booking are not guaranteed.
Carriers
The client acknowledges and accepts the following: Alta Voyages is not a carrier and acts solely as an intermediary, whether for a trip by coach, train, boat, plane, or any other means of transportation. Alta Voyages cannot be held responsible for injuries, damages, or losses caused by the negligence or failure of any company or person to provide services or materials in connection with these arrangements.
The traveler also understands that the technology offered on board (Wi-Fi, air conditioning, DVD/CD player, microphone, etc.) by various carriers are complementary services that may fail without warning or may not be available depending on the regions and countries. No compensation is possible.
At any time, cancellations, changes of company, schedule changes, changes in the type, size, and class of vehicle or equipment, changes in itinerary, route, and travel time, and other changes may occur without notice or compensation for any reason. As Alta Voyages is not a carrier, it cannot be held responsible for such cancellations, changes, or delays caused by them. The transportation services offered are carried out in accordance with the regulations of the bodies governing air and land transport.
Services not used
No refund will be made by Alta Voyages for services reserved and not used by the customer, intentionally or through negligence of the traveler. It is also not possible to use these services at a later date.
Itinerary
The course of the itinerary and the order of the planned visits, as well as the times indicated can be modified according to the circumstances, unforeseen situations and the conditions prevailing on the spot: the weather forecast, extraordinary traffic on certain sites, a canceled connection, deviation of the ship, political problem, strike, national holiday, closure, etc. Airlines, hotels, transportation, device types, and other amenities may be subject to change as conditions dictate. These changes may cause the agency and / or its agents to modify the circuit initially proposed. The agency will strive to maintain the best possible standard in these possible changes. The modifications are final and without recourse.
Air travel
Flight times and stops on air routes are indicative only and are subject to change without notice. The same is true for the types of aircraft, the days of operation, as well as the air carriers operating the flight.
Alta Voyages makes the following recommendations to its clients before departing by plane:
Check with the carrier or the advisor about the weight, the baggage size and whether or not it is included in the package, in addition to complying with it;
- Confirm flight schedules 24 hours before departure;
- Present yourself at the check-in counter 3 hours before the scheduled departure time;
- Go to the check-in desk with all the necessary documents, including passport, visas and plane tickets;
It is the customer’s responsibility to comply with these recommendations for the smooth running of the departure by plane. Alta Voyages agrees to make the reservations that are included in the package or requested by the customer and disclaims any prejudice that may arise to a customer who does not fulfill the personal duties above. Alta Voyages cannot be held responsible for direct or indirect damage resulting from a change of schedule, flight cancellation, overbooking, missed connection, loss of luggage or otherwise.
Traveler health and food restrictions
It is the clients’ responsibility to inform their travel agent of any condition that may affect them during the trip. In this way, the agent can advise a trip according to the customer’s conditions and the necessary arrangements can be made, if necessary. Food restrictions, intolerances and allergies are among the hazards that can affect the trip. It is the customer’s responsibility to inform their travel agent to facilitate travel planning. Unless otherwise stated, Alta Voyages cannot guarantee that suppliers will be able to accommodate customers and cannot be held responsible for any difficulties that may arise therefrom. As each trip and supplier is different, it is recommended that you check this directly with a travel advisor. It is the customers’ responsibility to keep their Epipen and / or medication on hand to facilitate procedures.
- Any disabled traveler, having a disability and / or allergies, must notify the agency as soon as he registers.
- Some countries, restaurants, coaches and hotels are not equipped to meet the special needs of some travelers. Thus, Alta Voyages reserves the right to refuse a person who could not complete the trip or for whom the trip could constitute a danger for himself or for others.
- As Alta Voyages has no control over service providers, it cannot guarantee the absence of allergenic substances during the trip.
Responsability
Alta Voyages holds a Quebec travel agent license and acts only as an agent for carriers, service providers, places of accommodation and other intermediaries. Alta Voyages’ obligations are limited to making the necessary arrangements to make the booked tourist services available to travelers.
Although Alta Voyages chooses its suppliers very carefully, Alta has no control over them and cannot be held responsible for their acts, omissions, faults or negligence that could cause delay, loss of personal property, injury, accident, etc. death, damage, inconvenience, loss of enjoyment, upheaval, disappointment or distress to the traveler.
Alta declines all responsibility and will not reimburse or compensate for any loss resulting from: illness, theft, labor dispute, mechanical failure, quarantine, bankruptcy, war, government constraints, political event, act of terrorism, riot, earthquake, closure borders, bad weather conditions or natural disasters, possible closure or poor condition of access roads or any other inconvenience beyond its control, late arrival of the traveler at the airport on the day of departure, failure of the traveler to present the documents required when necessary, negligence and omission on the part of the traveler with regard to the instructions received from suppliers, prohibition of entry of the traveler into the country visited or any other situation independent of Alta’s obligations or any other case of force majeure.
Any claim related to a trip or stay must be addressed in writing to Alta Voyages within a maximum of 14 days after the return date for any trip in Quebec, Canada, and abroad. Enrollment in one of our trips confirms the acceptance of the general and specific conditions as well as the responsibilities described in the contract.
Non-refundable activities
The participant acknowledges that certain services in his package are non-refundable. If an incident occurs that forces the trip to be canceled, or if the supplier has to cancel said service due to bad weather conditions, the costs related to this portion of the service cannot be refunded or credited. Non-refundable activities will be indicated on the contract.
These services and activities include, but are not limited to: show tickets, sporting event tickets, Disney, UN, Holocaust Museum, Cosmodome, 5 Star Farm, Music Festival, Fenway Park, Independance Hall, Voiles en Voiles, Jumps -Mouton Jetboat, Rafting Montreal, Putting Edge, Residence & Conference Center -Ottawa West, cruises.
Right to image
The traveler authorizes Alta Voyage to use their photo for specific purposes, including publication on social media, website, brochures, printed or electronic documents, promotional tools, and other similar materials, in a professional context. If the Traveler refuses to appear in publications, a formal request must be made to Alta Voyage.
Interpretation et jurisdiction
The contract must be interpreted in accordance with the laws of the Province of Quebec. For all cases where the point of departure is in the province of Quebec, the parties concerned are under the jurisdiction of the district of Quebec.
The invalidity in whole or in part of a clause of this contract shall not affect the validity of the other clauses.
General conditions
The signing of the agreement implies acceptance of all the conditions stipulated in this agreement.
Failure by the Traveler to comply with any of the clauses of this agreement could result in the unilateral cancellation of the agreement by Alta Voyages.
The Court of Quebec will have jurisdiction to adjudicate any dispute regarding the application of this agreement between the two parties.
